Administrative Assistant – Export & Customs / International Trade Focus

Location: Hüllhorst, Germany (On-site)

Take the next step in your career and join our team in Hüllhorst, where you will play a key role in coordinating global shipments of high-value instruments . This position goes beyond traditional administration — it is a specialist role in export, customs, and international logistics , ensuring all shipments are handled efficiently and in full compliance with regulations.

Following our recent AEO certification , we are looking for an experienced professional to act as a subject matter expert in international trade compliance , supporting our global operations while working closely with logistics partners and internal teams.

This role is on-site , with flexible working hours between 07:00 and 18:00 to support both business and personal needs.

Key Responsibilities

  • Customs & Compliance (AEO):
  • Ensure full compliance with international trade and customs regulations, maintaining and supporting AEO standards
  • Export Documentation:
  • Independently prepare, review, and manage all export and customs documentation (including ATLAS processing)
  • Logistics Coordination:
  • Coordinate global shipments and schedule collections with freight forwarders and carriers (e.g. FedEx, UPS, Expeditors)
  • Reporting & Intrastat:
  • Prepare and submit Intrastat declarations and ensure accurate regulatory reporting
  • Documentation & Invoice Validation:
  • Create and verify pro forma invoices, ensuring accuracy and compliance with international shipping requirements

Your Profile

  • Proven experience in export operations, customs, or international trade/logistics
  • Strong knowledge of:
  • Customs regulations and compliance (AEO preferred)
  • ATLAS system
  • Tariff classification
  • Experience working with international logistics providers and freight forwarders
  • Fluent in German and English (written and spoken)
  • High level of accuracy, organisation, and ownership
  • Collaborative team player with willingness to work on-site
