Administrative Assistant – Export & Customs / International Trade Focus
Location: Hüllhorst, Germany (On-site)

This position goes beyond traditional administration — it is a specialist role in export, customs, and international logistics , ensuring all shipments are handled efficiently and in full compliance with regulations.
Following our recent AEO certification , we are looking for an experienced professional to act as a subject matter expert in international trade compliance , supporting our global operations while working closely with logistics partners and internal teams.
This role is on-site , with flexible working hours between 07:00 and 18:00 to support both business and personal needs.
Key Responsibilities
- Customs & Compliance (AEO):
- Ensure full compliance with international trade and customs regulations, maintaining and supporting AEO standards
- Export Documentation:
- Independently prepare, review, and manage all export and customs documentation (including ATLAS processing)
- Logistics Coordination:
- Coordinate global shipments and schedule collections with freight forwarders and carriers (e.g. FedEx, UPS, Expeditors)
- Reporting & Intrastat:
- Prepare and submit Intrastat declarations and ensure accurate regulatory reporting
- Documentation & Invoice Validation:
- Create and verify pro forma invoices, ensuring accuracy and compliance with international shipping requirements
Your Profile
- Proven experience in export operations, customs, or international trade/logistics
- Strong knowledge of:
- Customs regulations and compliance (AEO preferred)
- ATLAS system
- Tariff classification
- Experience working with international logistics providers and freight forwarders
- Fluent in German and English (written and spoken)
- High level of accuracy, organisation, and ownership
- Collaborative team player with willingness to work on-site
