About The Role For our R&D team in Aachen, we are looking for a Senior Administrative Assistant who plays a key role in keeping our technical staff focused on what they do best — engineering and innovation. By taking ownership of a broad range of operational and administrative tasks, you will be the backbone of our day-to-day office operations and a trusted partner to the team.
The role requires a high degree of independence, reliability, and a proactive hands-on mindset in a dynamic, international environment.
Your Responsibilities
- Office Management: Oversee day-to-day office operations, coordinate with facility management, service providers, and internal departments (IT, HR, Finance), and ensure a well-organized, productive working environment. Act as a point of contact for internal departments (HR, Finance, IT, Facilities) and external partners
- Purchasing & Procurement: Initiate and follow up on purchase orders, coordinate with internal finance and procurement teams, handle invoices and receiving orders
- Shipping & Logistics: Coordinate incoming and outgoing shipments, manage customs documentation, and liaise with logistics providers
- Travel: Organize domestic and international business travel, including expense reporting
- Inventory Management: Maintain and track equipment and office assets, conduct regular stock checks, and manage asset lifecycle documentation
- Events & University Collaborations: Organize meetings, workshops, local and regional events with a focus on internal events as well as coordinate with universities and research institutions
- Support: Provide administrative assistance to managers and the team, including correspondence, meeting preparation, and onboarding/offboarding support. Proactively support process optimization and operational efficiency
- General: Manage confidential and sensitive information with a high degree of professionalism
Your Profile
- Completed commercial training (e.g. kaufmännische Ausbildung) or comparable qualification
- Several years of relevant professional experience as an administrative or executive assistant, preferably in an international company OR showing truly exceptional performance, which show an excellent learning curve and potential
- Strong organizational and coordination skills with a structured and reliable working style
- High level of discretion, integrity, and professionalism
- Very good communication skills in German and English, both written and spoken
- Confident user of Microsoft Office (Outlook, Word, PowerPoint, Excel); experience with enterprise systems is an advantage
- Ability to work independently, prioritize tasks effectively, and manage multiple topics in parallel
- Service‑oriented mindset with a proactive and solution‑focused approach
